Terms and conditions

1. Reservation Confirmation

  • Once we receive the booking fee, we will send you a confirmation email. The reservation will be on hold until the payment is confirmed.
  • The reservation is only confirmed upon actual payment of the fee indicated in the reservation setup: either the total amount or the deposit.
  • If the “Deposit Payment” setting is active when you book, we will send you a request for payment of the remaining balance at least 30 days before check-in.

2. Payment Conditions

  • For bookings made at least 60 days prior to the check-in date, a deposit is required to secure the reservation.
  • If the booking is made less than 60 days before the check-in date, the full amount is charged at the time of reservation.
  • The balance of the total payment is strictly due at least three weeks before arrival.

3. Security Deposit

  • A fully refundable security deposit of €4000 is required at least three weeks before check-in (€6000 if you have pets). This deposit will be returned after check-out, provided the property is left in good condition without any damage.

4. Cancellation Policy

Refundable Conditions

  • Full Refund:
    • If you cancel your reservation 90 days or more before the check-in date, you will receive a full refund of the amount paid.
  • Partial Refund:
    • If you cancel your reservation between 89 and 60 days before the check-in date, you will receive a 75% refund of the total amount due.
    • If you cancel your reservation between 59 and 30 days before the check-in date, you will receive a 50% refund of the total amount due.
  • Security Deposit:
    • The security deposit is fully refundable after check-out, provided the property is returned in good condition without any damage or missing items.

Non-Refundable Conditions

  • No Refund:
    • If you cancel your reservation less than 30 days before the check-in date, no refund will be provided.
  • Deposit Payment:
    • The deposit payment becomes 100% non-refundable three weeks before check-in (21 days).
  • Total Payment:
    • The total payment becomes 100% non-refundable 30 days before check-in.
  • Initial Payment:
    • For stays between 30 to 60 nights, the initial 50% payment is non-refundable.
  • Stays Over 60 Nights:
    • If cancellation is notified 90 days or more before check-in, you will receive a full refund of the amount paid.
    • If cancellation is notified between 89 and 60 days before check-in, 25% of the total amount due is non-refundable. This means you will receive a 75% refund of the total amount due.
    • If cancellation is notified between 59 and 30 days before check-in, 50% of the total amount due is non-refundable. This means you will receive a 50% refund of the total amount due.
    • If cancellation is notified less than 30 days before check-in, 100% of the total amount due is non-refundable.

5. Duration, Withdrawal, and Termination

  • The contract duration is specified by the check-in and check-out dates on page 1 of this contract.
  • For the termination of any reservation, the terms of the Italian contract signed at check-in will apply, with the notice period varying from 3 to 6 months depending on the contract length.
  • For reservations longer than 3 months, the initial 50% payment is non-refundable. A three-month notice is generally required for early termination of the lease to avoid losing the prepaid security deposit.

6. Customer Obligations

  • The customer must inform the owner of the number of people staying in the apartment. Failure to disclose this information will result in a penalty equal to 30% of the total property price.
  • The customer agrees to treat the property with care during their stay and avoid actions that might damage the property, its appearance, or contents. They also agree not to cause any noise or disturbance to neighboring residents.
  • The customer agrees to return the property keys at check-out as agreed with the owner or their representatives.
  • The customer agrees not to duplicate or give the property keys to third parties. Loss of keys will result in compensation for the cost of new locks and four new sets of keys.
  • The customer agrees to take necessary security measures to prevent unauthorized access to the property during their stay. Failure to comply will result in liability for any damages caused.
  • The customer agrees not to sublet the apartment to anyone.
  • Guests should report any damages or issues in the apartment within 24 hours of check-in.
  • For stays of 30 to 90 nights, guests are required to pay utilities (water, electricity, gas, condo fees, taxes, and miscellaneous expenses) at a flat rate included in the rent.
  • For bookings longer than 91 nights, routine maintenance is the guest’s responsibility, including replacing consumables, cleaning showers and drains, unclogging toilets, routine maintenance of condominium and facilities (boiler maintenance), garbage (TARI), Valdarno Reclamation, and the like. AC Caiani Apartments Florence can provide assistance to coordinate maintenance work and refer the guest to specialized technicians (plumbers, electricians, etc.).

7. Right of Access to the Property

  • The owner and/or their appointed representatives may access the property for repairs and/or maintenance if necessary. In an emergency, the customer will be contacted via email and/or SMS. If a potential future client is interested in the property, the owner or representative will contact the current client to arrange a suitable visit time.

8. Pets

  • Pets are not allowed unless expressly authorized in writing by the owner. With permission, pets are accepted with a 50% increase in the deposit and an adjusted final cleaning fee.

9. Suspension of Utilities and Services

  • The owner or agent is not liable for any suspensions or interruptions of services provided by third parties (e.g., electricity, gas, water) beyond their control.

10. Penalties and Additional Costs

  • Guests are responsible for the apartment’s furniture and items. Furniture cannot be moved or removed from one room to another, or placed in public areas.
  • Any errors during the booking process, such as the number of guests, may incur additional costs. Missing items and replacement of furniture will be charged to the guest. The guest cannot put their own furniture in the apartment without authorization. Any costs due to removing the guest’s furniture will be charged. Damages due to displacement of furniture and items (e.g., floor, door damage) will be charged.
  • If the host becomes aware of damaged or broken furniture, they must give written notice within 48 hours of check-in.

11. Clause of Termination by Operation of Law

  • Rent or charges cannot be suspended or delayed by tenant claims or exceptions. Failure to pay on time will result in a notice of default towards the tenant, according to Art. 5:55, L. July 27, 1978, 392.

12. Theft / Damages

  • The owner/manager is not liable for any theft. The owner is not liable for any damage to guests regarding their property. Travel insurance is recommended to protect assets.

13. Modification of Contract

  • Upon arrival, during check-in, the tenant is required to sign the contract in Italian, drafted in the form required by Italian law, containing the same contents as the online contract.

14. Use of Personal Data

  • The customer authorizes the owner to disclose their personal data to law enforcement agencies for legal obligations and to the Florence Revenue Agency for contract registration according to law.
